Ai Voicemail For Dentists And Dental Practices
A dental practice cannot answer every call while patients are in the chair. Voice Mate takes the message, asks who is calling and why, and gives your team a clear list to work through between appointments.
Front desks lose calls at the busiest moments: lunch, early morning, and whenever a patient is at the counter. A caller who reaches a voicemail often hangs up and tries another practice. With Voice Mate the caller speaks to an assistant that asks for a name, a number and the reason for the call. Your team reads the summaries in one list and returns calls in order.
Keep the instructions careful. Tell the assistant not to give medical advice or confirm appointments, and to say that someone from the practice will call back.
Getting Started
Setup is easy: follow the steps below. You need the Voice Mate app on your phone.
Get the app
-
1. Write careful instructions
In AI prompt, state that the assistant takes messages only: no advice, no diagnoses and no appointment confirmations. Ask for name, number and reason.
-
2. Use a calm greeting
In Greeting, say the practice name and that the team is with patients. A calm first sentence sets the tone for the whole call.
-
3. Check the list twice a day
Open the call list before opening time and after lunch. Mark calls as read when they are returned so nothing is called back twice.
-
4. Turn on call forwarding
Tap the forwarding switch in the Voice Mate app and follow the prompt. Your phone company then sends unanswered calls to your Voice Mate number; you can switch it off again with one tap.
